Privacy Policy
Your trust matters to us. Here's how we handle and protect your information.
Last updated: July 2026
This Privacy Policy explains how Brooks Heating & Air ("we," "us," or "our") collects, uses, discloses, and protects your personal information when you visit our website, contact us, request service, or apply for a job. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). By using our website or services, you consent to the practices described in this policy.
The short version
We respect your privacy and only collect what we need to serve you well. In plain language:
- We collect your contact details and service information when you reach out, book service, or apply for a job.
- We use that information to respond to you, do the work, and improve our service — never to spam you.
- We do not sell your personal information.
- We share information only with the trusted providers who help us run our business, and where the law requires it.
- You can ask to see, correct, or delete your information at any time, and you can opt out of our texts and emails.
The full policy below explains each of these in detail and your rights under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
Depending on how you interact with Brooks Heating & Air, we may collect:
- Contact & identity information — your name, email address, phone number, and service or mailing address.
- Service details — information about your home comfort system, the work you request, appointment history, and notes from your service visit.
- Employment information — if you apply for a position, your résumé, work history, and the details in your application.
- Payment & financing information — billing details handled by our payment or financing partners (we do not store full card numbers on our website).
- Website & device information — collected automatically, such as IP address, browser type, pages viewed, and referring site, through cookies and analytics tools.
- Communications — the content of forms, emails, texts, chats, and (where you are notified) recorded phone calls.
How we collect it & your consent (CASL)
We collect personal information directly from you (for example, when you complete a form, call, text, or email us), automatically through our website, and occasionally from service partners acting on our behalf.
By providing your information and using our website or services, you consent to the collection and use described in this policy. Where we send you commercial electronic messages (email or text), we do so in accordance with Canada's Anti-Spam Legislation (CASL): we identify ourselves, send only what you have consented to, and give you an easy way to unsubscribe. You can withdraw your consent at any time (see "Your privacy rights" below).
How we use your information
We use your information to:
- respond to your questions and service requests;
- schedule, perform, and follow up on heating, cooling, and indoor air quality work;
- process payments, financing applications, warranties, and rebates;
- review job applications;
- send service-related updates, appointment reminders, and — only with your consent — promotions and tips;
- maintain records, meet legal and safety obligations, and improve our website and customer experience.
We will only contact you about your request or matters you have agreed to — we do not send unsolicited spam.
Text messaging (SMS) consent
If you provide your mobile number and opt in, Brooks Heating & Air may text you about appointments, service updates, and — where you have agreed — offers. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help. Carriers are not liable for delayed or undelivered messages. Consenting to texts is not a condition of buying any product or service, and we do not share your mobile number with third parties for their own marketing.
How we share your information (we don't sell it)
Brooks Heating & Air does not sell your personal information. We share it only as needed to run our business and serve you, including with:
- Service providers — scheduling, dispatch, customer-relationship, hosting, analytics, financing, payment, review, and marketing partners who process information on our behalf under confidentiality obligations;
- Professional advisors — such as our accountants, insurers, and legal counsel, where reasonably required;
- Legal & safety — where required by law, regulation, legal process, or to protect the rights, property, or safety of our customers, staff, or the public.
Cookies, analytics & advertising
Our website uses cookies and similar technologies to keep the site working, remember your preferences, and understand how visitors use the site so we can improve it. We also use analytics and advertising tools (such as Google Analytics and Google Ads / Local Services Ads conversion measurement) that may set their own cookies.
You can control or delete cookies through your browser settings and through our cookie-consent banner. We honour recognized browser privacy signals (such as Global Privacy Control) where technically feasible. You can opt out of Google Analytics using Google's browser add-on, and adjust ad personalization in your Google and social-media account settings.
Your privacy rights under PIPEDA
Under PIPEDA, you have the right to:
- Access the personal information we hold about you;
- Correct information that is inaccurate or incomplete;
- Withdraw consent or ask us to stop using your information (subject to legal and contractual limits), including opting out of marketing emails and texts;
- Request deletion of information we no longer need to keep.
To exercise any of these rights, contact us using the details below. We will respond within the timeframes PIPEDA requires and may need to verify your identity first.
How long we keep your information
We keep personal information only as long as needed for the purposes described here and to meet our legal, tax, warranty, and accounting obligations. When information is no longer needed, we securely dispose of or anonymize it.
How we protect your information
We use reasonable physical, organizational, and technical safeguards appropriate to the sensitivity of the information to protect it against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security, but we work to protect your information and to address any incident promptly.
Storage & processing outside Canada
Some of our service providers (for example, website hosting and software platforms) may store or process information outside Canada, including in the United States. Where that happens, your information may be subject to the laws of that jurisdiction, and we take reasonable steps to ensure it receives a comparable level of protection. Contact us if you would like more information about our service providers.
Children's privacy
Our website and services are directed to adults and to homeowners and businesses that hire us. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
Other websites we link to
Our website may link to third-party sites (for example, financing partners, review platforms, or manufacturers). We are not responsible for the privacy practices or content of those sites. Please review their privacy policies before providing information.
Your Privacy Choices — Do Not Sell or Share My Personal Information
Brooks Heating & Air does not sell your personal information, and we do not share it for cross-context behavioural advertising. This section explains the privacy choices available to every visitor, plus rights specific to certain jurisdictions.
Your choices on this website. You can accept or decline non-essential cookies using our cookie-consent banner (your choice is remembered and re-applied on every visit). We also honour the Global Privacy Control (GPC) browser signal automatically — when your browser sends GPC, advertising signals are disabled without you needing to click anything. The analytics and advertising tools we use are Google Tag Manager, Google Analytics 4, and Google Ads / Local Services Ads conversion measurement.
Your California privacy rights (if you are a California resident). Under the CCPA/CPRA you have the right to opt out of the "sale" or "sharing" of personal information (California Civil Code §1798.120 and §1798.121), the right to know, correct, and delete personal information we hold about you, and the right not to be discriminated against for exercising these rights. Because we do not sell personal information and do not share it for cross-context behavioural advertising, no further action is normally required — but you can additionally decline cookies via our consent banner or use GPC, and you can submit any know/correct/delete request using the contact details below. We will verify and respond as the law requires.
Your Canadian privacy rights (PIPEDA). As described above, you may access and correct your personal information and withdraw consent to its use at any time, using the same contact details below. The cookie banner and GPC signal are the mechanisms for withdrawing consent to non-essential cookies.
Quebec residents (Law 25). If you reside in Quebec, you have equivalent rights of access, correction, and withdrawal of consent under Quebec's private-sector privacy law (Law 25), including the right to complain to the Commission d'accès à l'information du Québec. Our cookie banner defaults to privacy-protective settings for visitors in Quebec, and this policy describes all cookies and tracking technologies we use.
To exercise any privacy choice, contact us at the details in the "Contact us" section below.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and post the new version on this page. Significant changes may be communicated more directly where appropriate.
